This support position assists the Director of Contracts in the day-to-day management of the company’s contract administration process. Individual will function as a liaison with clients, experts and internal departments in ensuring appropriate contracting is in place.
Under direction from Director of Contracts/Contracts Coordinator, provides general contract administration. This includes coordination and compilation of contracts from set-up through to project completion.
Monitors and ensures conformity to standard contracting procedures and follows instructions regarding particulars of contracting parties, etc.
Assists in negotiations and contract amendments, including communicating with experts and clients and revising contracts as necessary.
Enters and maintains contract status information into a propriety database. Use of QuickBooks in compiling statistics and preparing retainer invoices. Use of Excel in maintaining documentation and updating spreadsheets on outstanding contracts.
Assists in the Accounting Department during peak workloads.
Inputs credit card transactions and reconcile monthly statements
Maintains sensitive records and files
Provides general administrative support to company principals and Operations Department. This includes scanning, copying, filing, faxing, answering telephones and any special projects which may arise.
SKILLS AND EXPERIENCE REQUIRED:
Ability to work in a team oriented environment
Ability to work under pressure with a keen eye for detail, producing a high volume of accurate work
Capable of handling multiple projects, simultaneously, and under tight deadlines
Proven competency in grammar and spelling, along with excellent written and verbal communication skills
Ability to manage multiple tasks, priorities and deadlines and work under pressure, producing a high volume of accurate work
Requires excellent time management skills
Punctuality and regular attendance
EDUCATION & TECHNICAL REQUIREMENTS:
Minimum of five (5) or more years of business and/or contracts experience working in or with professional services or legal entities
Typing speed of 65+ keywords per minute
Extreme proficiency in a Microsoft Office environment (Word/Excel/PowerPoint)
Basic knowledge of QuickBooks
